AMCMitra Privacy Policy

AMCMitra is an app that helps service businesses keep track of customers, maintenance contracts, visits and bills. This policy explains what information we collect, why, and what you can do about it. It is written to follow India's Digital Personal Data Protection Act, 2023 ("DPDP Act").

1. Who we are

AMCMitra is run by Shamsuddin Khakiyani, Thane, Maharashtra, India ("we", "us").

2. Who this policy is about

There are two kinds of people whose information is in AMCMitra:

1. Users of the app: business owners, co-owners and technicians who sign in. For your information, we are the Data Fiduciary under the DPDP Act.
2. Customers of those businesses: people whose names, phone numbers, addresses and machine details a business enters into the app. For this information, the business is the Data Fiduciary and we only process it on the business's behalf (we are its Data Processor). If you are a customer of a business that uses AMCMitra, please contact that business first about your information. We will help the business answer your request.

3. What we collect

About app users

• Mobile number (used to sign in with a one-time password, "OTP")
• Your name and role (owner, co-owner or technician)
• Business details you enter: business name, address, contact person, GST number, PAN, logo

What businesses enter about their work

• Customer names, phone numbers and addresses
• Machine details (type, brand, model, serial number)
• Contracts, visits, visit notes and photos taken during visits
• Bills and the payments you record (amount, mode such as cash or UPI, a note). We do not collect card, bank or UPI login details.

Collected automatically

• Technical information needed to run the service safely: IP address, device and app version, time of requests, and error reports.

We do not collect your contacts, location, microphone or files other than the photos you choose to add to a visit.

4. Why we use it

• To sign you in and keep your account secure
• To provide the app's features: customers, contracts, visits, bills and reports
• To let business owners see work done by their team
• To fix problems, prevent misuse and keep the service running
• To contact you about your account or important changes to the service

We use your information because you have given consent by creating an account, and to provide the service you asked for. We do not sell personal information, and we do not use it for advertising.

5. Who we share it with

Only with services we need to run AMCMitra, and only what they need:

When you tap "Send" or "Remind" in the app, the message opens in your own WhatsApp; WhatsApp's own privacy policy then applies to that message.

We may also share information if the law requires it, for example on a valid order from a court or government authority.

6. Where it is stored and how it is protected

Your information is stored on a server in Mumbai, India. It is sent over encrypted connections (HTTPS). Each business can only see its own data. Technicians can only see what their role allows. We keep regular backups.

If a data breach happens that affects you, we will inform you and the Data Protection Board of India as the DPDP Act requires.

7. How long we keep it

• While your account is active, we keep your information so the app works.
• When you delete your account, we delete your information within 30 days. Copies in backups are removed within a further 30 days.
• We may keep a small record longer only if the law requires it.

Bills you create are your business records. Download or share any bills you need before deleting your account, since you may be required by tax law to keep them.

8. Your rights

Under the DPDP Act you can:

• Ask what information we hold about you and how we use it
• Correct or update it (most of it you can change in the app yourself)
• Delete your account and information: in the app, go to More → About → Delete my account, or visit amcmitra.fyi/delete-account
• Withdraw consent at any time by deleting your account
• Nominate someone to act for you if you are unable to
• Make a complaint to our Grievance Officer

Write to support@amcmitra.fyi. We will reply within 30 days. If you are not satisfied with our answer, you can complain to the Data Protection Board of India.

9. Children

AMCMitra is for businesses. You must be 18 or older to use it.

10. Changes to this policy

If we change this policy, we will update the date at the top. If the change is important, we will tell you in the app before it takes effect.
